Wait List Maintenance
From the DockMaster menu, select Marina Management > Wait List Functions > Wait List Maintenance
Wait List Maintenance allows for an unlimited number of Wait Lists with an unlimited number of entries into each list. Information can be pulled from the current Customer File or Boat File, or be entered as Wait List prospects.
Options include:
- Entry of a Customer’s slip preferences.
- Current slip/rack holders can be entered into a list to be relocated.
- Lock users from predating a wait list entry.
- Check for duplicate entries in All Wait Lists or the current Wait List.
- Check that the prospective customer doesn’t already exist in the Customer File.
- Invoice a customer for being on a Wait List.
Notes & Hints:
- Many fields may be left blank, and relevant information added later as acquired.
- Hyperlinks may be available at the bottom of the program window, and may vary depending on what options have been selected. Options may include: Boat Placement, Security Deposits
Creating or maintaining a Wait List
- Wait List ID - Enter a new Wait List ID or press F6 to select from a List of existing Wait Lists. When creating a new Wait List, enter a description next to the Wait List ID. Enter F7 to select a specific Wait List listing from any Wait List.
- Entry Number - Enter ‘N’ or press the New icon to start a NEW wait list entry. If an existing Wait List was selected above, use F6 to select from existing Wait List entries from just that Wait List.
- Cancellation Date - If customer wishes to be removed from the Wait List, enter date here.
Customer Information [tab]
- Customer ID - Enter a Customer ID if this is a current customer. The name and address information will automatically be copied to the appropriate fields if a Customer ID is entered. Note: This field is not required, and the Wait List entry may still be saved and associated with a Customer ID at a later time.
- First Name - Enter the customer's First Name.
- Last Name - Enter the customer's Last Name. Note: If enabled in System Administration, DockMaster will check the Last Name against the Customer file. If a match is found, a window will appear which shows every Customer record with the same last name. If you pick a listing from this window, the system will simply pull up the existing file, filling in the relevant information in the remaining fields.
- Address - Enter the customer's street Address. Three lines are provided.
- Postal Code - Enter the customer's Postal Code. Note: This field will perform a formatting check if United States or Canada is selected as Country, and supports US formats of both 5 and 9 digits. Using a US format will pre-fill City and State when entered. Up to 10 characters are permissible when using another Country, but no formatting checks will be performed.
- City - Enter the customer's City.
- State/Province - Enter the customer's State/Province. Note: If United Stated or Canada is selected as Country, a two-letter abbreviation is required - F6 to list. If another Country is selected, up to 25 characters may be entered.
- Country - Enter the customer's Country. This field defaults to the Country selected in DockMaster Parameters, but may be changed.
- Home Phone - Enter the customer's Home Phone number. Note: Phone numbers may be entered as 7 or 10 digits with various punctuation characters (or none), and will re-format to standard format of (###) ###-####. If entered as 7 digits, the Area Code will default to what is stored in DockMaster Parameters.
- Work Phone - Enter the customer's Work Phone number.
- Cell Phone - Enter the customer's Cell Phone number.
- List Date - Click in the List Date prompt to change the wait list entry date or accept the current date as the default.
- List Time - Displays the time of day the Entry was created and cannot be edited.
Boat Information [tab]
- Boat ID - Enter a Boat ID, F6 to select from a list, or leave blank. Note: If a Boat ID is not assigned, the information in the Boat Information tab will transfer to the Customer Boat File if and when this Wait List Entry is converted to a Customer.
- Boat Name - Enter the customer's Boat Name.
- Manufacturer - Enter the name of the boat Manufacturer.
- Model - Enter the Model of the boat.
- Mfg Year - Enter the year the boat was manufactured. Note: The year can be entered as a two or four digit number.
- Registration - Enter the boat's official Registration number (exclude any spaces). Note: The registration number is used as a cross-reference field. This allows Boat File records to be accessed by entering the registration number at any Boat ID prompt.
- Serial Number - Enter the Serial Number for this boat.
- Length Overall - Enter the Overall Length of the boat (including attachments to the bow and stern). Note: The length, beam, draft, and height should be input in one of the following formats: 23', 23’10, 23’10", or 23.10. A period or apostrophe can be used to separate feet from inches.
- Beam - Enter the Beam of the boat. See above for input format.
- Draft - Enter the Draft of the boat. See above for input format.
- Height - Enter the Height of the boat. See above for input format.
Slip Preference [tab]
This section allows you to designate a preference list for this prospect. The Boat Placement and Customer Boat File programs will use this information to prompt the user with a list of wait list prospects when a customer is departed from a slip. You can either enter actual Slip IDs or slip preferences. If you are entering actual slips in the grid, enter them in the customer’s preferred order; most preferred to least preferred.
- Wait List or Relocation - Select whether this is a Wait List entry or a Relocation request by a current customer.
- Slip ID - Enter a Slip ID, or F6 to select from a List. Multiple preferences may be added.
- Slip Type - Enter a Slip Type for this wait list entry. Note: This field is meant to designate whether this slip is WET or DRY. However, you can use this field for any other three-digit designation that you see fit (e.g. LND for land, RM for room, CBN for cabin).
- Slip Length - Enter the Length of Slip requested for this wait list entry. Note: The length should be input in one of the following formats: 23', 23’10, 23’10", or 23.10. A period ( . ) or apostrophe ( ' ) can be used to separate feet from inches.
- Voltage 1 / Voltage 2 - Click the down arrow to select the Voltage if this prospect requires it.
- Amps 1 / Amps 2 - Enter an amperage value if this prospect requires it.
- Water - Click this box if this prospect requires access to fresh water.
- Phone - Click this box if this prospect requires a phone jack.
- Dock Box - Click this box if this prospect requires a Dock Box.
- Cable TV - Click this box if this prospect requires a Cable TV jack.
- Electric Meter - Click this box if this prospect requires an Electric Meter.
Billing Codes [tab]
- Billing Code - Enter a valid Billing Code for this boat. These codes should already be maintained; press F6 to list the available codes. Billing codes are used to generate charges for a Wait List entry through the Storage and Billing module's Process Storage Bills program. The number of billing codes you can enter is unlimited. After entering a code, its Description, Cycle, Months and Rate fields will get populated automatically. Important: Do not attach Billing Codes that have a Flat Cycle.
- Description – This field will display a description of the Billing Code selected and is not maintainable.
- Amount - Displays the default rate set up for this Billing Code
- Amount Override – Enter a rate to override the default rate. Note: The billing system is designed to allow the user to change the default rate on a Billing Code's File and have this new rate automatically update all boats with this code attached to it. If the default rate of the Billing Code is overridden, the rate will no longer be updated when the master Billing Code File is changed.
