Aging [report] [A/P]

From the DockMaster menu, select Accounts Payable > Reports > Aging

The Aging Report is used to show the age of vendor invoices as of a given Accounting Date (default), Due Date or Invoice Date.  The report can be printed in Summary (default) which gives you one line per vendor, Total which gives you a one-line summary totaling all vendors, or detail which gives you all open invoices and debit memos for each vendor.  The invoice balances are aged as current (1-30 days), and three user-defined aging columns (The default ranges are 30, 60 and 90 days).

  • Unapplied Debit Memos are shown in a separate column and are not aged with other invoices but are included in the Total Due column.  The last column on the report shows the appropriate date for each invoice (depending on which date was selected for printing) and only if printing in detail and also shows the Last Payment amount and date on the total line for each vendor.  (This will always show most current payment no matter what date you select to print the report as of).
  • The report can be run for one G/L Schedule Account or <All> accounts, one Vendor or a list of vendors, and one Vendor Category or a list of categories. You can exclude vendors who have a zero balance and also show percentages for each age column. A sample report printed in detail without percentages is shown below.

 

  1. Closing Date - Enter the Closing Date or press <Enter> to default to the current date.
  2. Click on the Aging Date Type down arrow for this report to select Due Date, Invoice Date or Accounting Date.  Use Accounting Date to balance the A/P to the general ledger.
  3. Number of Days in – Enter the Number of Days for aging Column 1, 2, and 3. The default for each column is 30, 60, and 90 respectively.
  4. Detail, Summary, or Total - Press <Enter> to print the report in SUMMARY or click the down arrow and select DETAIL or TOTAL. This option affects the amount of vendor and invoice detail printed on the report. The Total option only shows one line of totals for all open invoices aged by the defined ranges; the Summary option shows totals for all open invoices for each vendor aged by the defined ranges; and the Detail option shows each vendor and all open invoices aged by the defined ranges.
  5. A/P Schedule Account – Enter an A/P Schedule Account or press <Enter> to default to ALL accounts.
  6. Vendors – Enter one or multiple Vendor IDs or leave the prompt blank to include ALL vendors. Type a name preceded by a backslash "\" to access a cross-reference list.
    • Press F6 to list vendors.
    • Press F7 to delete a row.
  7. Vendor List – Enter a Vendor List name or press <Enter> to bypass this prompt.
  8. Vendor Category Codes - Enter one or multiple Vendor Category Codes or leave the prompt blank to include ALL category codes.
    • Press F6 to list all category codes.
    • Press F7 to delete a row.
  9. Zero Balances for Vendors – Click on this option to include vendors that have open invoices with a net balance of zero.
  10. Show Percentages for Totals – Click on this option to show percentages below each defined age column.
  11. Click the Print button to display the report.
